What is the Billing Queue?

The Billing Queue is an easier way to organize your billing. Billers have dedicated tabs that group billable actions together in order to help speed up the billing process and to avoid missing any crucial details. 

With everything going into the same Invoices/All Sales tabs, it can be difficult to quickly identify what you need to do, what you are still in the process of doing, and what you have completed. With the Billing Queue, you have a dedicated space to address pending billable events, review new invoices, and refer back to what you have already completed.

Needs Action

The purpose of this tab is to consolidate order-related billing decisions that trigger or update invoices into one location for the biller to simplify their review process. This gave billers the ability to assess overage, wait time, wasted trip, etc. for orders and generate invoices for those activities.

Needs Review 

This is where all new invoices will appear. Any action that you need to take on your invoices, such as adding additional charges, editing product rate/quantity, etc. should be done in this tab.  

Posted 

The Posted tab is a consolidation of approved invoices, payments collected for services, and credit notes. An approved invoice is one that has completed your review process, which can vary from user to user. For example, you may define a Posted invoice as one that has been sent to a customer; or, you may define Posted as only after payment has been received on the invoice. 

What are some improvements coming with the Billing Queue release?

1. Additional columns: The billing page includes many data points that are relevant to billers. 

 

2. Filtering expansions: Billers will be able to find what they are looking more quickly and more accurately with an expansive set of filters.

Filters include:

  • Accounting Status: This will help you find invoices that require syncing to QuickBooks. 
  • Service Type: Dumpster, Live Load, etc.
  • Date Range & Invoice Due Date Range: You can now drill down to the exact dates you want to see.
  • Invoice Type: An example of a type of invoice is Monthly Rental Fee invoices. 
  • Order Type: Delivery, Exchange, Removal, etc.
  • Payment Policy: For example, filtering by your "Prepay" payment policy will show you all invoices generated Upon Order.
  • Billing Group

How do I use the Needs Review and Posted tabs? 

New invoices will land in the Needs Review tab. This is where you will make changes to the invoice, such as adding additional charges or changing the product rate. 

After you determine the invoice to be fully reviewed and no further changes are required, you can move the invoice to the Posted tab. Keep in mind that the criteria for when an invoice is considered Posted is totally up to you. Some common ones include: 

  • Invoice is finalized and no more changes are required
  • Invoice has been sent to the customer or printed
  • Invoice has been paid

We have also built a few basic triggers that will automatically move invoices from Needs Review to Posted which you can also choose to enable or disable:  

You can choose to move invoices automatically from Needs Review to Posted when it is emailed or printed or payment has been received.

 

Other Tabs

  • Processor: The CC Failed, CC Transactions, and CC Payouts tabs are nested under the Processor tab. 

  • Customers
  • Voided: All voided invoices, payments, and credit notes will live here.
