Needs Action Tab Overview

Who is the Needs Action tab for?

  • Primarily for billers, but has small impact on CSRs
  • Our Customers!  The goal is to help users feel confident in our billing, by calling attention to billable events and allowing them to act on those events.

Where can I find the Needs Action tab?

  • The Tab will be located on the Global Billing Landing page and on Customer Billing Profiles
  • When drilling into the Customer Billing Profile, you will only see orders that belong to the respective Bill To Customer

What is the Needs Action tab?

  • A consolidation of all billing related decisions for an order, in one spot.  (The tab is organized BY ORDER)
  • When certain operational events that have billing implications occur on an order, it will be flagged in the Needs Action tab for the biller to review.  
  • Clearing items from the Needs Action tab, may generate or update an invoice

When does something generate in the Needs Action tab?

When any of the following events occur an order will appear in the Needs Action tab
  • Driver logs a wait time AND a wait time charge is tied to the Price List assigned to the order
  • Driver or Dispatcher marks an order Unable To Complete
  • If an order moves to removed status, and one or a mixture of the following applies to the Price List/SKU on the order
    • Overload - If there is an overload charge tied to the Price List assigned to the order AND the driver interacts with the overload field, the biller will be prompted to confirm the overload amount
    • Overage - if the order contains a matrix SKU, the biller will be prompted to confirm the overage amount regardless of if the driver interacts with the field
    • Unit Based SKU - if the order contains a unit based SKU, the biller will be prompted to confirm the pick up amount
    • Mini Action - if it is a mini action order, the biller will be prompted to confirm mini’s added, removed, emptied, and/or loose material collected

  • Please note, when an order is marked unable to dump, it will not generate a trip charge on the Needs Action tab.

How do I clear items from the Needs Action tab?

  • Users can review billing events associated with an order, by clicking on an order within the needs action tab.  This triggers a side sheet that contains any possible billable events that have occurred related to that order
  • Rules/Order in which items can be cleared from the Needs Action tab
    • Items can be cleared as they accrue or they can be cleared all at once
    • IF the biller is clearing items as they accrue, and it causes the order to fall off the Needs Action tab, the order will reappear if another possible billable event occurs
    • IF an order has accrued a combination of possible billable events
      • THEN the Biller must clear these A and B items before the order can be completed (C items).
        • A items:
          • No Price list selected on order
          • No Payment Policy added
          • Order Product switching
        • B items:
          • Wait Time Charge
          • Trip Charge
        • C items: Anything related to completing out the order
          • Overload
          • Overages
          • Unit based SKUs
          • Mini movements
      • THEN the CSR will see an update button on the order in the settle orders tab.  Until the Biller clears the A and B items, they will be unable to complete out the order 
    • IF there are no A or B items pending on the Needs Action tab for the Biller to clear, then the CSR is able to complete out the order on the Settle Orders tab.  If the CSR completes an order on the Settle Orders tab, the order will disappear from the Needs Action Tab and vice versa. 

How does this impact the order profile and invoices?

  • Trip charge WILL NOT show on the order profile price breakdown, or generate an invoice until approved by the biller in the Needs Action Tab.  If the biller chooses to bill for the trip, it will generate on the order profile price breakdown and generate an invoice
  • Wait time charges, WILL appear on the price breakdown on the order profile, but an invoice WILL NOT be generated until the biller approves the charge.  If the biller select No for the charges, the wait time will fall off the order profile price breakdown
  • For C items, events related to completing out the order such as overages and overloads, the, the price breakdown on the order profile will update based on driver inputs, but the invoice will not be updated or generated until the order has been completed.  
    • Please note, updating an invoice will follow the same logic as it does in the settle orders tab.  

Some additional features of the Needs Action tab;

  • Trip Charge communication
    • Billers can see feedback from the dispatcher and driver related to the trip charge.  This can help them decide quickly if they want to generate an invoice
    • Please note, the interaction on the dispatch page will NO LONGER generate an invoice, it will only update the suggestion from the dispatcher on that order within the Needs Action tab
  • Expanded Filters
    • The filters on the Needs Action tab is more expansive than previous billing filters to help users navigate through their data more quickly
