Flexible Serialized Inventory

Before we released this feature, Serialized Inventory was restrictive for Delivery and Removal workflows.

  • For Delivery orders, if an asset is deemed as not available in the platform for whatever reason, your driver is unable to make that selection and move forward with their schedule. The process to fix the asset and order can be extremely laborious on the office side and holds up the drivers from moving on with their schedule.
  • For Removal orders, the system currently forces users to choose the asset off of which to place the order, when in reality, the asset to be removed is not known until a driver is on site. In this situation, the driver would either have to complete the order with the wrong asset assigned or call the office to cancel and rebook the order.   

Flexible Serialized Inventory gives drivers the ability to make an exception with their asset selection for Delivery orders. For Removal orders, this feature allows drivers to make an exception by selecting from any asset on-site that is the same product and same material as the base order, and other assets as well, regardless of availability status. In addition, we are adding helpful evaluation information to the inventory page so an office user can quickly reconcile inventory. 

The above applies to Exchange orders as well, since they have a Delivery and Removal component.

How to Enable Flexible Serialized Inventory

Go to Settings > Web Settings > Opt-In Features. From here, you can configure flexible serialized inventory for: 

  • Delivery orders only, or
  • Delivery and Removal orders

If you require Driver photos for booking exceptions, go to Settings > Mobile Settings > Photos and toggle on "Drivers must take or upload photos while onsite before completing an order."

How to Use Flexible Serialized Inventory for Delivery Orders

As detailed in our Serialized Inventory Enhancements release, Drivers now have the ability to reserve assets before starting an order. In this same screen, Drivers will now be able to select from:

  • In Use assets
  • Reserved assets
  • Allocate assets (referred to as "Unable to Locate" in the Driver App)

        

If the driver chooses an unavailable asset, they will view a pop-up warning them that they are booking an unavailable asset and ask them to take a photo.

Notifications

If your Driver selects any asset that is not Available, a notification will pop up in the top left corner of your web application. 

Reconciling Exceptions

If your Driver selects any asset that is In Use, Reserved, or in Allocate Asset status, the order will appear in the In Use tab of Inventory Management marked with an exception.

How to Use Flexible Serialized Inventory for Removal Orders

Flexible Serialized Inventory can only be turned on for Removal orders if you have enabled it for Delivery orders as well. 

In addition to selecting from available assets, drivers will now be able to select from the following:

  • On-site assets: Any asset that is In Use, the same Product, and the same Material
  • Available assets
  • In Use assets
  • Reserved assets
  • Allocate assets (referred to as "Unable to Locate" in the Driver App)

The On Site Assets will show any assets that are currently at this customer's location. Drivers are limited to selecting assets that have the same size and material. 

Drivers will also have the option to select from Global Assets, which includes assets that are in Available, In Use, Reserved, or Allocate Asset status. 

Notifications

If your Driver selects any asset that is not On-Site, a notification will pop up in the top left corner of your web application similar to what is shown above

Reconciling Exceptions

On-Site Asset

If a Driver selects a different asset that is also on-site, no reconciliation will be needed in the web application. The order tied to that asset ID will go from an In Use status to a Removed status and the original removal order will revert from Pending Removal back to an In Use status.

For Exchange orders, the Pending Delivery order will now be linked to the order with the on-site asset the Driver selected. The order number will remain the same.
